Purpose: To ensure that the facility provides equal access to individuals with disabilities by offering accommodations, services, and resources that enable them to fully participate in volunteer opportunities or visitation experiences. This policy outlines the commitment of the facility to create an inclusive environment for all visitors and volunteers regardless of their ability level while providing a reasonable notification and remediation period for those needing accommodations.

Policy Statement:

  1. The facility will make reasonable efforts to provide accessible facilities, programs, and services to individuals with disabilities by adhering to applicable accessibility standards (e.g., Americans with Disabilities Act in the United States or Accessibility for Ontarians with Disabilities Act in Ontario).
  2. Volunteers and visitors with disabilities will be provided equal opportunities to participate in all aspects of the facility's activities, including but not limited to: a. Participation as volunteers b. Visiting exhibits, programs, or events c. Accessing information and resources
  3. The facility will ensure that its premises are accessible by removing barriers where possible and providing alternative methods of access when necessary (e.g., ramp access to buildings, audio descriptions for visual materials).
  4. Communication with volunteers and visitors who have disabilities will be provided in a manner that takes into account their individual needs and preferences. This may include the use of assistive technologies or alternative formats such as large print, Braille, or electronic documents.
  5. The facility will provide training to staff members, volunteers, and other stakeholders on accessibility awareness and best practices for serving individuals with disabilities.
  6. A reasonable notification period will be established for volunteers and visitors who require accommodations due to a disability. This period allows the facility sufficient time to make necessary arrangements or modifications to ensure equal participation in activities (e.g., 72 hours' notice).
  7. In case of emergency situations, the facility will have an evacuation plan in place that considers the needs of individuals with disabilities. This may include designated escape routes, personal assistance during emergencies, and communication protocols for those who are deaf or hard of hearing.
  8. The facility will regularly review and update this policy to ensure its continued relevance and effectiveness in promoting accessibility for all visitors and volunteers.
  9. If a requested accommodation is not feasible due to undue hardship (e.g., financial, administrative, or logistical constraints), the facility will work collaboratively with the individual to identify alternative solutions that meet their needs while minimizing any negative impact on the organization's ability to operate effectively and efficiently.
  10. Feedback mechanisms will be established to receive comments, concerns, or suggestions from visitors and volunteers regarding the accessibility of the facility's programs, services, and facilities. The feedback received will be used to inform future improvements and accommodations.

By implementing this Accessibility Policy with a reasonable notification and remediation period for those needing accommodations, the facility demonstrates its commitment to creating an inclusive environment that welcomes and accommodates individuals with disabilities as volunteers or visitors. This policy aims to remove barriers and provide equal opportunities for participation in all aspects of the facility's activities while respecting the needs of both the individual and the organization.
